Description

The Administrative Assistant provides administrative and secretarial support including arranging 
meetings, conferences, obtaining supplies, coordinating direct mailings, and working on special 
projects.


Responsibilities
• Schedule and organize appointments, meetings, travel, and conferences
• Screen incoming calls, denote detailed messages, and transfer calls to appropriate staff 
members
• Order office supplies and maintain office equipment
• Establish, develop, and maintain filing system
• Retrieve information from files when needed
• Maintain daily and monthly schedules for all necessary staff to determine location and
availability
• Organize and prioritize large volumes of information and calls
• Respond to requests for information
• Complete typing and copying as needed for management staff
• Open, sort, and distribute mail
• Maintain a neat and orderly office and reception area
• Work independently and within a team on special non-recurring and ongoing projects 
• May be required to take mail to the post office using own vehicle
• Maintain conference room usage log
• Check fax machine and distribute faxes to appropriate staff
• Additional tasks and responsibilities may be assigned
• Employee must cooperate with the license and department staff in any inspection, inquiry, or 
investigation.
• Employment is contingent upon successful completion of checks of criminal background, 
central registry, child abuse registry, and drug testing


Minimum Requirements
• High school diploma or GED
• Two years of related administrative experience
• Valid driver’s license with a satisfactory driving record
• Proficient in Microsoft Office Suite
• Ability to type 50+ words per minute
• Must have high level of interpersonal skills to handle sensitive and confidential situations
• Position continually requires demonstrated poise, tact, and diplomacy
• Excellent verbal and written communication skills
• Independent judgment is required to plan, prioritize, and organize diversified workload
• Ability to prioritize workload with excellent time management skills
• Ability to deal with individuals from all levels of the organization
