Community Options, Inc. is a national non-profit agency providing services to individuals with disabilities in 12 states. 
 
We are actively seeking an Administrative Assistant to join our team in Tucson, AZ. The Administrative Assistant provides administrative and secretarial support including arranging meetings, conferences, obtaining supplies, coordinating direct mailings, and working on special projects.
 
Responsibilities
  • Schedule and organize appointments, meetings, travel, and conferences
  • Screen incoming calls, denote detailed messages, and transfer calls to appropriate staff members
  • Order office supplies and maintain office equipment
  • Establish, develop, and maintain filing system
  • Retrieve information from files when needed
  • Maintain daily and monthly schedules for all necessary staff to determine location and availability
  • Organize and prioritize large volumes of information and calls
  • Respond to requests for information
  • Complete typing and copying as needed for management staff
  • Open, sort, and distribute mail
  • Maintain a neat and orderly office and reception area
  • Work independently and within a team on special non-recurring and ongoing projects 
  • May be required to take mail to the post office using own vehicle
  • Maintain conference room usage log
  • Check fax machine and distribute faxes to appropriate staff
  • Additional tasks and responsibilities may be assigned
  • Employee must cooperate with the license and department staff in any inspection, inquiry, or investigation.
  • Employment is contingent upon successful completion of checks of criminal background, central registry, child abuse registry, and drug testing
Minimum Requirements
  • High school diploma or GED
  • Two years of related administrative experience
  • Valid driver’s license with a satisfactory driving record
  • Proficient in Microsoft Office Suite
  • Ability to type 50+ words per minute
  • Must have high level of interpersonal skills to handle sensitive and confidential situations
  • Position continually requires demonstrated poise, tact, and diplomacy
  • Excellent verbal and written communication skills
  • Independent judgment is required to plan, prioritize, and organize diversified workload
  • Ability to prioritize workload with excellent time management skills
  • Ability to deal with individuals from all levels of the organization
Working Conditions
  • Occasional overtime required 
  • Occasionally lift up to 15 pounds
